Wedding and Event Terms and Conditions

YOUR CAKE

Final design, size and flavour of your cake must be confirmed at least 14 days before the wedding date. Some subtle changes may be possible after this, but no changes will be allowed within 5 days of the wedding date.

 

PAYING FOR YOUR CAKE
A 50% non- refundable deposit is due 8-12 weeks before your date, with the remaining balance due no later than 14 days before the wedding date. If your design changes after the deposit has been paid, then the remaining balance will be adjusted accordingly.

 

CANCELLATIONS

Regardless of the reason for cancellation, all deposits and other fees already paid are non-refundable and non-transferable. It is advisable that you have suitable wedding insurance to cover you in the event of unexpected cancellation or postponement. Please note that moving to a future date will be subject to availability and to potential cost increases due to standard price rises. Cake by Louise retains the right to cancel the booking in exceptional circumstances beyond my control such as fire , accident or ill-health, during which a full refund (plus deposits) will be issued. 

 

FLOWERS

I prefer to use artificial flowers on all of my cakes for a number of beneficial reasons.The main ones being that they are less admin for you to have to sort out, they are cheaper for you, and they are actually more environmentally friendly than using fresh. However,  If you prefer to have fresh flowers, you must make sure that you are aware of the toxicity issues with regard to using fresh flowers on food. I do not supply fresh flowers myself, and so this is something you will need to coordinate with your florist. Before I can accept any floral delivery from your florist, the flowers must be prepared so that they are food safe. It is vital that you discuss this with your florist and that you are fully aware of the health risks involved with using fresh flowers on your cake. Cake by Louise will not be held responsible for any accident, injury or ill health as a result of using fresh flowers that have been supplied by a third party.

 

CAKE STANDS

At the moment, I am unable to hire out stands for use. Your venue will normally be able to supply one. However, I am happy to help you source one if necessary, such as hiring one from an external company, where the costs will be passed on to you. I do have cupcake stands available to use.

 

ALLERGIES

Whilst I am happy to bake to accommodate food intolerances such as gluten or nuts, Cake by Louise will not be held liable for any accident, injury, or illness as a result of your order. I can not guarantee any order is allergen free, as all of these ingredients are commonly used in my kitchen.  Always discuss any allergen concerns with Cake by Louise prior to ordering.

DELIVERY AND SET UP

I deliver all of my wedding cakes and set them up personally. It is the customers responsibility to ensure that the venue is aware and accepting of this, or to inform me if another arrangement needs to be worked out.

Most cakes are delivered readily stacked. But with some larger orders, I will deliver the tiers separately and will construct the cake at the venue, and therefore having access to some kitchen facilities such as hot water and a hand washing station is essential.

 

Your cake will be supplied on a standard white cake board, unless otherwise arranged. Most often, venues will provide a dressed table and a stand where the cake will be displayed. If a stand is to be used, please ensure this is already in place prior to my arrival.
It is imperative that where the cake is to be displayed, that the temperature is suitable, especially for summer weddings. If for whatever reason I feel that the cake may not do well in the chosen display area, I may discuss with the nominated person responsible for signing for the cake, about finding a more appropriate location to display it. This is to ensure the cake is protected and kept looking amazing for your arrival. Buttercream and heat do not mix!

Once the cake is set up, I will take photos of the arrangement to ensure that it has been arranged correctly before I leave the venue.

 

SIGNING FOR YOUR CAKE

It is really important that you choose a trusted person to sign for the delivery and set up of the cake, this is usually your wedding coordinator for your venue, or it can be someone within the wedding party who will be on site at the time of delivery. Your wedding coordinator must be informed in advanced that they will need to sign for the cake. When signing for the cake, they must agree to the terms set out on the form that states that upon signing, they become responsible for the cake. Cake by Louise holds no responsibility for any damage or other issue, once the cake has been set up and signed for. It is also very important that this persons’ contact details are passed on to me in advance so that I can keep them up to date regarding my expected time of arrival on the day.

Pictures will be taken of your cake once I have finished the set up and these will be saved alongside a copy of the signed terms and conditions, which will be used as evidence against any complaints that may arise.

 

COMPLAINTS
All cakes are baked to order and returns, refunds and exchanges are not accepted. In the extremely unlikely event that there is an issue with the quality of your cake, then I must be notified within 24 hours and the cake is returned to my premises, in full. Half eaten cakes will not be accepted. Cake by Louise will not accept liability for any complaints made after this time, as the window for assessing the cakes true freshness has passed. Once the product is returned within the 24 hour window, and can be assessed, then a credit note may be offered if I agree that the cake is not as it should be. If the quality issue has arisen as a result of the venue's preparation of the cake, then Cake by Louise can not be held liable for any complaints and you must contact your venue to discuss your concerns. Any complaints made outside of the 24 hour window will not be valid and therefore Cake by Louise will not be held responsible for any issue caused.

PLACING AN ORDER

A 50% non refundable deposit is required at the time of booking in order to secure your order. Your order will not be confirmed until this is received. If more than 24 hours has passed sine your enquiry and no deposit has been paid, Cake by Louise reserves the right to cancel your order and offer the date to another customer.

PAYING YOUR BALANCE

The final amount must be paid in full, 24 hours before the date that the cake is due for collection or delivery. Orders not paid will not be made. Please contact me to confirm when a deposit or the final balance has been paid.
